Coaching institutes × attendance
Attendance for a coaching batch, marked per session
A coaching batch does not have a school day. It meets on a schedule, two or three batches share a room through the evening, and the unit a parent asks about is the session their child missed. Per-day attendance records something nobody in a coaching institute can interpret — this page is about the session-wise shape instead.
The session is the unit, not the day
In an institute running three batches an evening, a learner's attendance only means something against the sessions their own batch held. That is also the number a parent is asking for when they call.
- Attendance against the session the batch actually held, not a calendar day
- A learner enrolled in two batches is tracked separately in each
- A cancelled or rescheduled session is not an absence for anyone
- Percentages computed over sessions held, so a short month is not a dip
Under a minute, in the room
Coaching faculty are frequently part-time and paid by the session; attendance that costs them four minutes will be filled in later from memory or not at all. Marking is present-by-default on the phone the teacher is already holding, so a batch of 60 with four absentees is four taps.
- Present by default — mark only the exceptions
- On the teacher's own phone, at the start of the session
- The roll in the same order each time, so the eye learns the list
- A late arrival amended without redoing the batch
Same-day contact is what parents are paying for
In a coaching institute the parent is buying supervision as much as teaching, and a message the same evening saying their child was not in the session is the most visible thing the institute does. Sent under your own name, it is also the clearest argument for your fee at renewal.
- Alert the same evening, automatically, not from a list somebody works
- One message per learner per day however many sessions were missed
- Over WhatsApp, SMS or email — nothing for a family to install
- A monthly summary as well, so a pattern is visible, not just a day
Shortfall while the course still has time
A coaching course is short. A shortfall report produced at the end is a post-mortem, so the threshold alert matters far more here than in a school: there has to be course left to recover in.
- A threshold you set, alerting on approach rather than on breach
- A weekly list of learners drifting, by batch
- Attendance beside the fee ledger and exam results on one learner record
- A coordinator view across batches, so a struggling batch is visible too

What the platform covers
Per session
Against the sessions the batch held, with multi-batch learners tracked separately.
Four taps, not sixty
Present by default on the faculty member's own phone, in the room.
Told the same evening
An automatic absence alert in your institute's name, with no app for families.
Questions, answered
Frequently asked questions
Can one learner be in several batches?
Yes, and their attendance is tracked separately in each, which is the only way the number means anything when a learner takes physics on Monday and maths on Thursday with different faculty.
What about a cancelled session?
It is not an absence for anybody, and it is excluded from the percentage, so a week of cancellations does not show up as a batch of learners suddenly drifting.
Does Classfold handle per-batch fee plans?
Not today — fees are per learner, on one ledger, and per-batch fee plans are on the roadmap rather than shipped. Most coaching institutes run per-learner instalments against the batch start date, which works now.
Do families need an app for this?
No. Classfold has no parent app and no parent login — everything a family receives arrives over WhatsApp, SMS or email under your institute's own name, so there is nothing for them to install.
Can we start with just this and add the rest later?
Yes. Every plan includes the whole platform, so you can run one capability first and switch on the others when you are ready. Nothing has to be bought again.
