Attendance that actually gets marked, every day

Attendance systems do not fail because the software is bad. They fail because marking takes four minutes, the teacher has fifty, and by the second week the register is being filled in at the end of the day from memory — which is worse than no record at all, because now it looks authoritative. This guide is about making the daily mark cheap enough that it keeps happening, and about what to do with the data once it does.

Pick the granularity you will actually sustain

The most common mistake in a 20-to-90-learner institute is copying a large school's period-wise model. Period-wise attendance for six periods is six marking events a day per teacher, and it is only worth that cost if somebody acts on the per-period data. If nobody does, you are paying six times for one number.

  • Once a session is right for a coaching batch, an arts class or a tutor's group
  • Once a day is right for a play school or a primary class with one teacher
  • Period-wise earns its cost only where subject-wise shortfall has a consequence — a college with a condonation rule, or a board requirement
  • Decide what you will DO with the finer data before you choose to collect it

Make the mark take under a minute

A minute per class is the threshold at which attendance stops being resented. Three things get you there, and all three are about defaults rather than speed of tapping.

  • Default everyone present, mark the exceptions. In a batch of 60 with four absentees, that is four taps instead of sixty.
  • Mark on the device the teacher already has in their hand, in the room, at the start — not on an office desktop afterwards
  • Keep the roll in the same order every time, so the eye learns the list
  • Let a late arrival be amended without undoing the whole class's mark

Write the shortfall rule down, then automate it

An attendance percentage nobody is accountable to is a number in a report. A shortfall rule is what turns it into an intervention, and it only works if the threshold, the trigger and the consequence are all written before the term starts.

  • A threshold as a percentage, over a stated window — a term, not the whole year, so it can still be acted on
  • What happens at the threshold: who is told, and in what order — learner, family, coordinator
  • A second, lower threshold with a harder consequence, if your board or institute has one
  • Who can condone a shortfall, on what grounds, and where that is recorded
  • A weekly list of learners approaching the threshold, not a monthly list of those past it

Same-day absence contact is the whole return

A family told at 10am that their child is not in class is the single most valuable thing an attendance system produces, for both safety and attendance itself. A family told at the end of the month, in a report, learns nothing they can act on. This is also the part that justifies the software to a parent, which matters when you raise fees.

  • Contact the same morning, automatically, not from a list somebody works through
  • One message per learner per day, however many sessions they missed — not six
  • Over a channel the family already reads, under your institute's name
  • A monthly summary as well, so a pattern is visible rather than only a single day

How Classfold does it

Attendance is marked on whatever device the teacher is holding, present-by-default so only exceptions are tapped, and the family is contacted the same minute over WhatsApp, SMS or email in your institute's name. Shortfall thresholds generate alerts rather than waiting for somebody to read a report, and the attendance record sits on the same learner profile as the fee ledger and the exam results, so a coordinator looking at a struggling learner sees all three without opening three systems.

  • Class-wise or session-wise marking, on a phone, in the room
  • Present by default; mark the absentees only
  • Automatic same-day absence alert to the family, no app for them to install
  • Shortfall alerts against a threshold you set, plus monthly summaries
  • One learner record shared with fees and results

Everything in one place

What the platform covers

Under a minute a class

Present by default on the teacher's own phone, so a class of 60 is four taps when four are away.

Told the same minute

An absence reaches the family that morning, automatically, in your institute's name.

Shortfall as an alert

A threshold you set produces a list of learners approaching it, not a report of those already past it.

Questions, answered

Frequently asked questions

Should a coaching institute mark attendance per session or per day?

Per session, because a batch meets on a schedule rather than every day, and a session a learner missed is the unit a parent asks about. Per-day attendance in an institute that runs three batches a day records something nobody can interpret.

What attendance percentage should trigger an intervention?

Set it from your own data rather than copying 75%. Look at last year's cohort: find the attendance level below which results actually fell, and set the threshold a little above it, so the alert arrives while there is still term left to recover in.

Does biometric or face attendance help?

It removes proxy marking, which matters in a large institution, and it adds hardware, enrolment and a privacy obligation, which matters more in a small one. For 20 to 90 learners, a teacher marking exceptions on a phone is faster than a queue at a device and creates no biometric data to protect.

Can attendance be corrected after it is submitted?

It has to be — a late arrival and an honest mistake are both normal. What matters is that the correction is recorded as a correction, with who made it and when, rather than silently overwriting the original.

Do families need to install an app to receive this?

No. Classfold has no parent app and no parent login. Notices, fee dues, attendance alerts and results go to families over WhatsApp, SMS and email under your institute's own name, so there is nothing for them to download or remember a password for.

What does Classfold cost?

Plans are published in full and priced by learner count, starting at ₹180/month for up to 90 learners. There is no implementation fee and no quote-only tier except the custom one for very large networks. See the pricing page.
