CBSE affiliation: the paperwork, in one list
Affiliation work fails on assembly, not on eligibility. The documents exist, in different cupboards, with different dates, held by different people, and the application stalls while somebody reconciles them. This is a checklist for assembling them and, more importantly, for keeping the records current afterwards — because affiliation is renewed and inspected, not granted once. Treat this as an organising aid and read the current CBSE affiliation bye-laws alongside it: the board revises both the requirements and the forms.
Land, building and safety
This set is about the premises and it is the one most often out of date, because certificates expire on their own schedule rather than the school's.
- Land documents: title or registered lease, with the area in the form matching the deed
- Building safety certificate from the competent authority, current
- Fire safety certificate, current — the most commonly lapsed document in the set
- Health and sanitation certificate
- Water potability test report, within its validity
- Site and building plan, approved, with room-by-room areas
Constitution, recognition and finance
The entity behind the school, and proof that it is what the application says it is.
- Society, trust or company registration, with the current list of members
- Non-proprietary character affidavit
- State recognition certificate and its no-objection certificate
- Audited accounts for the required preceding years
- Fee structure as published to parents
- Reserve fund and salary account evidence, in the school's own name
Staff, academics and enrolment
The records that have to agree with each other, and with your UDISE+ data. A mismatch between the staff list in the application and the one in UDISE+ is a question you will be asked.
- Staff list with qualifications, appointment letters and salary evidence
- Teacher qualification documents, matched to the subjects they teach
- Enrolment by class and section, agreeing with your UDISE+ record
- Academic calendar and the timetable actually in use
- Library stock, laboratory equipment and sports facility lists
- Learner identifier data — PEN and APAAR — maintained, not assembled at the last minute
The mandatory public disclosure
CBSE requires an affiliated school to publish a defined set of information on its own website, and an inspection will look at the page as published rather than at a document you hold. It is a standing obligation: the page has to stay current, which means it has to be editable by the office without a developer.
- School and trust details, affiliation number and period
- Documents and information: the certificates above, published as the board specifies
- Staff details with qualifications, and the learner-to-teacher ratio
- Class-wise enrolment and the fee structure
- Infrastructure details and the academic calendar
- School management committee and the grievance redressal contact
- Three years of board results, where applicable
What Classfold does and does not do here
Honestly: Classfold does not file your affiliation. What it does is keep the underlying records in one place and current, so assembling the application is an export rather than a search — enrolment by class and section, staff with qualifications, the fee structure as published, and the learner identifiers. A Classfold institute site also gives the office an editable page set under the school's own domain, which is where a mandatory public disclosure page has to live.
- Enrolment, staff and fee data current in one system, exportable for the application
- Learner PEN and APAAR held on the record, so the identifier data is not a last-minute drive
- An institute website under your own domain, with pages the office can edit
- No filing, no submission and no legal advice — read the current bye-laws
Everything in one place
What the platform covers
Records that agree
Enrolment, staff and fees in one system, so the application's numbers match the school's own.
A site you can edit
Your own domain and a page set the office can keep current, which a disclosure page requires.
Identifiers maintained
PEN and APAAR kept on the learner record through the year instead of collected under deadline.
Questions, answered
Frequently asked questions
How long does CBSE affiliation take?
The published timelines run to several months from a complete application, and most of the delay schools actually experience is in assembling and correcting documents rather than in the board's own processing. The practical lever is keeping the premises certificates current and the enrolment and staff records consistent year-round.
Which document lapses most often?
Fire safety, followed by water potability. Both have validity periods set by the issuing authority rather than by the school year, so they expire quietly between inspections. Put both renewal dates in the same calendar the academic year lives in.
Does the mandatory public disclosure have to be on our own website?
Yes — it is published by the school, on the school's site, which is why an office that cannot edit its own website turns a standing obligation into a recurring request to whoever built it. The page also has to stay current, not merely exist.
Can software guarantee we pass an inspection?
No, and any product that suggests it can is worth distrusting. Software keeps records consistent and retrievable, which removes the most common cause of delay. The premises, the staffing and the compliance are the school's.
Do families need to install an app to receive this?
No. Classfold has no parent app and no parent login. Notices, fee dues, attendance alerts and results go to families over WhatsApp, SMS and email under your institute's own name, so there is nothing for them to download or remember a password for.
What does Classfold cost?
Plans are published in full and priced by learner count, starting at ₹180/month for up to 90 learners. There is no implementation fee and no quote-only tier except the custom one for very large networks. See the pricing page.
