Schools × fee management
Fee management for a school's whole fee year
A school's fee year is not a series of invoices. It is a structure published in April, instalments dated against the academic calendar, concessions granted for a dozen different reasons, a transport charge that varies by route, and a late-fee rule that has to be applied identically to every family or not at all. This page is about that shape specifically — not about billing in general.
What makes a school's fees different
A school charges the same learner under several heads at once, across a year it publishes in advance, with a roll-over at the year boundary. That combination is what breaks generic billing software.
- Several heads per learner — tuition, transport, exam, activity, hostel — each separately reportable
- Instalments dated against the academic calendar, published for the whole year before it starts
- Concessions from many sources: staff ward, sibling, scholarship, trust-funded seat
- A transport charge that depends on route, not on the learner
- A year boundary where balances carry forward and the structure itself may change
The late-fee problem, and how it is solved here
Most schools have a late-fee policy on paper and apply it unevenly in practice, because applying it is a decision made at the counter by a clerk facing a parent. Classfold holds the policy as policy — a grace period, one charge shape and a ceiling — and a scheduler applies it on the due date, so the same rule reaches every family and nobody at the counter has to decide.
- Grace period, charge shape and ceiling stored once, as policy
- Applied on the due date by the system, not by the person at the counter
- A written waiver route, recorded against the learner with who approved it
- The same rule for every family, which is what makes it defensible
Reconciliation that actually reconciles
The reason a school's collected figure never matches its expected figure is almost always concessions recorded outside the ledger. Here every concession sits against the head it reduces, with a reason and an approver, so the month-end numbers come from the same place the receipts did.
- One ledger per learner carrying charges, concessions, payments and late fees
- Numbered, GST-ready invoices and PDF receipts a family can keep
- Collected, pending and concession-granted reports drawn from that ledger
- Year-end roll-over that carries balances rather than re-creating them
Reminders without chasing
Fee chasing is phone work, and phone work does not scale past a few hundred learners. Reminders go out before and after a due date, automatically, under your school's own name, so the office's calls are reserved for the families who need a conversation rather than a notification.
- Reminders before the due date, and again after it, on a schedule you set
- Over WhatsApp, SMS and email — no app for a family to install
- Sent in your school's name, not a vendor's
- A pending list the office works from, not a list it compiles

Questions, answered
Frequently asked questions
Can we charge transport by route?
Yes — transport is its own head and can differ per learner, which is how it should be when your routes differ in length. A flat transport charge is one of the most disputed items on an Indian school's fee document.
How are staff-ward and sibling concessions handled?
As concessions against the head they reduce, each with a reason code and an approver. That is what lets the month-end collected figure reconcile against the expected one, which a lump-sum adjustment never does.
What happens at the academic year boundary?
Balances carry forward onto the new year's ledger while the fee structure itself can change, so a learner who owes from March still owes in April without the old structure being frozen in place.
Do families need an app for this?
No. Classfold has no parent app and no parent login — everything a family receives arrives over WhatsApp, SMS or email under your institute's own name, so there is nothing for them to install.
Can we start with just this and add the rest later?
Yes. Every plan includes the whole platform, so you can run one capability first and switch on the others when you are ready. Nothing has to be bought again.
