Fee week is rarely a software problem. It is a sequencing problem: the office starts collecting before it has decided what each student owes, so every counter conversation becomes a calculation. Here is the order that removes most of it.

Two weeks before

1. Freeze the fee heads. List every component you charge — tuition, admission, transport, lab, exam, late fee if you levy one — and set the amount per class or batch. A head that changes mid-collection means reprinting receipts, so this is the one step worth a meeting.

2. Decide the instalment pattern. One payment, two terms, four quarters, or monthly. Set it against the class rather than per student wherever you can: a pattern attached to a class applies to every student admitted into it, including the ones who join in week three.

3. Enter the concessions. Staff children, sibling discounts, scholarship students, the three cases the principal approved verbally last year. Attach each one to the student so the balance is already correct when the parent reaches the counter. A concession applied at the counter is an argument; a concession already in the ledger is a number.

One week before

4. Send the notice, not a reminder. One message to every family with the dates, the amount due and how to pay, from your institute's own WhatsApp number and email. The point is that nobody arrives surprised.

5. Check the defaulter list from last cycle. Anyone still carrying a balance should be contacted this week, individually, not in the crowd of fee week. The list is one click and it is current — you are not adding up a register.

6. Agree who sits at the counter. Give those people the finance module and nothing else, and make sure each has their own login. Shared logins are why "who took this payment?" has no answer in March.

During fee week

7. Take every payment in Classfold, including cash. This is the rule that makes the rest work. Counter cash, UPI at the desk and online payments all post to the same student ledger, and each one produces a receipt from the same numbered series. A payment recorded in a side register is the one that will not reconcile.

8. Do not promise a receipt later. Print or send it at the counter. A receipt issued in the moment ends the conversation; a receipt promised for tomorrow starts three more.

9. Reconcile daily, not weekly. At the end of each day, check the day's collection report against the cash in the drawer and the gateway settlement. A mismatch found the same evening is a memory away from being explained. A mismatch found on Friday is an investigation.

After

10. Export the collection report for your auditor while the cycle is fresh, and note which heads, classes and payment methods actually behaved. Most institutes find one head nobody understood and one class whose instalment pattern was wrong. Fix those two before the next cycle and the queue gets shorter again.

What this does not fix

Classfold does not levy late fees automatically, so if you charge them, add them as a head and apply them deliberately. It does not file your GST or export to Tally — the collection report exports cleanly and your accountant takes it from there. And parents do not log in: everything they receive comes over WhatsApp, SMS or email under your institute's name, which is also why step 4 matters more than it looks.
